Getting started
How do I set up my shop?
Open 9POS, tap Get started, enter your shop name and choose your currency. That is all: no account is needed. You can change the name, phone, address, receipt details and payment methods later in More, Store settings.
How do I add products?
Open Products and tap the plus button. Enter a name and price; code, photo, category, stock and cost are optional. You can also scan a barcode to fill in the code, or import many products from a CSV file in the same menu.
Does 9POS work without internet?
Yes, everything works offline: selling, printing over Bluetooth, stock, reports and backups to a file. Internet is only needed to download the app or open links such as this help centre.
What is the Home screen for?
Home shows today's sales, shortcuts (scan, add a product, quick sale, sale templates), suggestions such as low stock, and your recent sales.
Selling and checkout
How do I make a sale?
Tap products in the Products grid (or scan them) to add them to the cart, then tap the cart bar to review and finish. Choose how the customer pays and tap to complete; the receipt screen lets you print or share it.
What is Quick sale?
Quick sale lets you ring up an amount that is not a product, for example a custom price. Find it among the quick actions on Home.
How do I hold a cart and come back to it?
Hold the current cart from the cart menu, give it a name such as a table number, and serve someone else. Reopen it later from Held sales.
What are sale templates?
A template is a saved set of items you sell together, such as a breakfast combo. Create it once, then add it to a cart in one tap.
Which payment methods are there?
Cash, card, bank transfer, QR pay and pay later. For QR pay, add your own bank or wallet QR image in Store settings, Payment methods; it is shown full screen at checkout. VietQR, PromptPay, DuitNow, PayNow, UPI, QR Ph and bank QR are supported.
Can I discount a sale or change a finished one?
You can add a discount to the cart before paying. A finished sale can be corrected, cancelled or refunded from its detail screen; stock goes back on the shelf unless you choose not to return it.
Scanning
How do I scan with the camera?
Tap the scan button in the tab bar (or the side rail on a tablet) and point the camera at a barcode or QR code. Each scan adds the matching product to the cart. Allow camera access when asked; the camera is used only for scanning.
How do I connect an external barcode scanner?
Put the scanner in HID (keyboard) mode over USB or Bluetooth, pair it with your phone, and set it to send Enter after each scan. Then open the Scan tab and scan; 9POS asks before first use. A step-by-step guide is in More, Hardware, External scanner.
My scanner is not working. What do I check?
Make sure it is in HID keyboard mode and sends Enter or Tab after each scan. Use the scanner test in More, Hardware, External scanner to see whether 9POS receives the code. If it types twice or too fast, adjust the typing speed in the scanner settings.
A scanned code is not found.
The product does not have that code yet. Open the product and add the barcode, or scan the code from the add-product screen to create it.
Printing and printers
How do I pair a receipt printer?
Turn the printer on, pair it in your phone's Bluetooth settings first, then open More, Hardware, Receipt printer in 9POS and pick it from the list. Allow Bluetooth access if the app asks. Print a test page to check.
58 mm or 80 mm?
Both work. Choose the paper size of your printer in the printer settings; 58 mm fits fewer characters per line, so item names wrap sooner. If the print looks cut off or too narrow, change the paper size.
Vietnamese letters print wrongly.
Open the printer's advanced options and try the Vietnamese character set. If your printer cannot show accents at all, turn on Remove accents. The character test shows how the printer handles each set.
Can I print Thai, Hindi, Chinese or Japanese?
Yes. For these languages 9POS prints the receipt as a picture, so the printer does not need the language built in. Picture receipts can print a little slower than text.
It prints nothing, or stops halfway.
Check the printer has paper and charge, is within a few metres, and is shown as connected. Reconnect it, print a test page and try again. In the advanced options you can copy the last print details to send to us.
Can I print labels?
Yes: price, QR and barcode labels for your products, on a roll printer or an A4 sheet. Open Products and choose labels, or find label printing under Hardware.
Can I share a receipt without a printer?
Yes. From the receipt screen share it as a PDF to any app. A receipt QR lets you scan it later to open the sale.
Stock
How do I track stock?
Turn on stock tracking for a product and enter how many you have. Each sale takes items off, and the product shows low stock when it falls to its alert level.
How do I receive a delivery?
Use Receive stock in the Inventory section of More: choose the products and quantities (and cost, if you like), name the supplier and save. Stock goes up and the movement is recorded.
How do I count my shelf?
Start a stock count, add the products you counted and enter the real numbers. When you finish, 9POS applies the differences and logs them in the stock history.
What is the restock list?
A shopping list of what to reorder. Add products from Low stock or from a product page, then mark them restocked when the delivery arrives. You can also share it as a CSV.
Can I import or export my products?
Yes. Import needs a UTF-8 .csv with a name and a price column; code, stock, category and cost are optional. Export products as CSV from the Products menu.
What are variants?
A variable product has options such as size or flavour, each with its own price, code and stock, so you can sell and count them separately.
Customers and debts
How do I add a customer to a sale?
On the checkout screen tap Customer and pick someone from your list, or add a new person. Walk-in customers need no record.
How do I sell on credit?
Choose Pay later at checkout, pick the customer, and optionally set a due date and a partial payment. The amount appears under Debts.
How do I record a repayment?
Open Debts, choose the customer's debt and add a payment, in full or in part. When it reaches zero the debt is marked paid.
Can a customer see their debt in the app?
No. 9POS is for the shop: customers do not log in. You can share a receipt with them.
Backup and moving to a new phone
How do I back up?
Open More, Backup and restore and tap Create backup. The file holds products, sales, customers, debts, stock records, settings and photos. Save it to a cloud drive or send it to yourself so it is not only on the phone.
How do I move to a new phone?
Create a backup on the old phone and move the file across, install 9POS on the new phone, and choose Restore from backup. Everything in the app is replaced with the backup, and a safety copy is saved first.
How often should I back up?
9POS shows when you last made a backup. Make one at the end of a busy week, and always before changing phones or resetting your device.
I lost my phone and have no backup.
Sadly your data cannot be recovered: 9POS has no account or cloud copy, which is also why nobody else can see it. Back up regularly.
Languages and currency
Which languages does the app have?
Vietnamese, English, Indonesian, Thai, Filipino, Spanish, Brazilian Portuguese, Hindi, Chinese, French, Japanese and German.
How do I change the language?
Open More, Store settings and choose Language, or follow the device language.
How do I change the currency?
You choose your currency when you set up the shop. Changing it later changes how amounts are shown; it does not convert past sales.
Tablets
Is there a tablet layout?
Yes. On a tablet 9POS uses a side rail for navigation, shows the cart next to the products and the camera, and shows lists and details side by side.
Does it work in portrait?
Yes, in both orientations. The layout adapts to the window size.
Can I use a tablet as the main till?
Yes. Pair a Bluetooth printer and, if you like, an external scanner; the cart stays on screen while you sell.
